Position: Executive Office Administrator
Job Location: West Surabaya, East Java
Salary per month: Rp. 4,500,000

  1. Fresh Graduated, Diploma or Bachelor's degree in Office Administration, Engineering, Secretarial, English Literature, or related fields.
  2. Having experience in office administration, secretarial duty, customer service, accounting & finance, or assistant to the CEO is preferred.
  3. Excellent written and verbal communication skills, able to communicate to a client or customer.
  4. Quick learner, fast response, responsible, self-driven, and meticulous attention to detail.
  5. Good organization, time management, work ethic, and scheduling skills.
  6. Able to adapt and work in a multi-cultural environment and growing company.
  7. Able to manage the office operations and the division members and handle them; organizing files, bookkeeping, customer service, etc.
  8. Basic bookkeeping experience, especially in accounts payable/receivable and invoicing.
  9. Experiencing and wanting to learn using office management digital software, including word processing software and spreadsheets.
  10. Fluent in English (written and spoken) is preferred.
  11. Able to relocate or work in Surabaya.

The ideal candidate is an organized, detail-oriented, and a team player capable of balancing multiple tasks and priorities.

Key Responsibilities:
  • Being an assistant to the CEOs to support them.
  • Responsible for providing administrative support to an organization. Their duties include organizing company records, overseeing department budgets, and maintaining inventory of office supplies.
  • Ensuring office supplies are maintained, including checking inventory and working with vendors to ensure adequate levels of necessary supplies at all times.
  • Being a customer service and supporting the marketing division project, such as CRM, WOM, Lead Management, etc., by phone call, e-mail, chat, etc.
  • Occasionally traveling off-site to deliver reports or files to other departments or vendors for logistics.
  • Ensuring the confidentiality and security of files and filing systems.
  • Coordinating schedules, arranging meetings, distributing memos and reports, and ensuring that everyone is kept current of necessary company news and information
  • Operating copy equipment, printers, or other equipment necessary and other digital platforms used by the company.
